Quick answer
Rosters are a simple grid: people down the side, days across the top. Click any cell to assign a shift, set a weekly off, or clear it. Your edits stay draft (amber outline) until you Publish the week — then employees see their shifts and get a notification. Shift-swap requests land on the Swaps tab for a one-click approve or decline.
1. Create shift templates (admins)
Open Roster → Shift templates. Add each shift with a name, start/end time, break and colour. The paid duration (and whether it runs overnight) is worked out for you. Deactivate a shift to retire it without deleting history.
2. Build the roster
On Roster, click a cell for a person + day:

Draft cells show an amber outline; click Publish week to release them.
3. Handle swaps
The Swaps tab lists pending requests. Approve hands the shift to the named colleague (if they're free that day) or simply clears it for you to reassign; Decline sends a note back. The employee is notified either way.
Frequently asked questions
- What does publishing do?
- While you build a roster, cells are drafts (amber outline) and employees can't see them. Publishing the week makes those assignments visible to your team and notifies anyone with new shifts.
- How do I approve a swap to a specific colleague?
- On the Swaps tab, click Approve. If the requester named a colleague and that colleague is free that day, the shift moves to them automatically. If they're already scheduled, adjust the roster first, then approve.
- Who can edit the roster?
- Admins can schedule everyone; managers can schedule their own reporting team. Only admins manage the shift templates.
